Training Academy/Become Award-Eligible/Which company records belong in AsherGate Beginner10 min · Progress tracking is not available yet
What you will be able to do
After this lesson you should be able to split reusable company records from a single notice’s files, store the reusable records in Company Documents, and leave solicitation PDFs in a company draft. You should also know that this vault does not register you, certify size, generate a capability statement, or submit an offer.
Reusable company records versus one notice’s files
Company Documents is a company vault for files your team will reuse: registration evidence, a Unique Entity ID record, a list of NAICS codes you actually claim, a capability statement you already wrote, incorporation or tax records, and past-performance samples. The page is labeled for registrations, capability files, and team review. Uploads can carry an expiration date, which is useful for a SAM.gov copy you dated from the 365-day clock.
A solicitation draft holds the files for one notice: the RFQ or RFP, amendments, and any price workbook that came with that posting. Mixing those notice files only into Company Documents makes it harder to see which amendment belongs to which draft. AsherGate still does not import SAM.gov notices for you.
Keep the official systems as the source of truth. SAM.gov holds the live registration. Census and SBA hold the live NAICS titles and size standards. AsherGate holds copies for your team. A copy can go stale the day after you upload it.
What this product phase will not do with those files
AsherGate does not file or renew SAM.gov registration, does not calculate size, and does not certify representations. The document generator is labeled Coming soon and does not draft capability statements or proposal outlines today. Analysis on a solicitation draft can extract facts from PDF, Word, and Excel with required bidder review; it is not an eligibility decision.
Storing a capability statement does not submit it. Storing an Active SAM screenshot does not make the record Active. Nothing in this phase sends an offer to SAM.gov, email, or a portal.
Worked walkthrough: vault the reusable files, draft the notice
Using the Quillward story below, three reusable files belong in Company Documents: the current SAM.gov Active evidence with the expiration copied from SAM, the Unique Entity ID screenshot, and the capability PDF the owner already wrote. The fictional notice AG-FILE-26-0804 RFQ PDF and Amendment 0001 PDF belong only in the solicitation draft.
The product step is to upload the three reusable files under Company Documents, set the SAM copy’s expiration to the date copied from SAM.gov, then open Solicitations and attach the two notice files to a draft named with that notice number. Stop there. Do not ask AsherGate to generate a capability statement or to file SAM.gov.
Fictional example
Quillward Bindery LLC and two different filing places
Quillward Bindery LLC is a fictional library-repair bindery in Duluth, Minnesota. It has an Active SAM.gov registration, a Unique Entity ID, and a two-page capability PDF the owner wrote last month. It does not have a federal award.
A teammate finds a fictional RFQ, AG-FILE-26-0804, from a fictional Split Rock Collections Desk for 120 conserved pamphlet binders. They almost drop the RFQ PDF into Company Documents next to the SAM screenshot.
They separate the piles. Company Documents receives the SAM Active evidence with an expiration date copied from SAM.gov, the Unique Entity ID screenshot, and the capability PDF. The RFQ and Amendment 0001 go into a New Solicitation draft named AG-FILE-26-0804 Quillward. They open the document generator, see that it is Coming soon, and leave the capability PDF as the owner wrote it. They do not submit a quotation.
